Subscriptions and billing

Start a free trial, choose a Clyentra plan, add seats, download invoices, and cancel or restart a subscription from the Usage & Billing screen.

By the end of this guide you will have picked a plan, paid for the right number of seats, and know where to find every invoice Clyentra has ever issued you. Everything lives on one screen: Usage & Billing.

Open it from the account menu or go straight to /usage. The subtitle reads "Manage your plan, billing, and invoices." If your organization has never subscribed, the screen skips the tabs and shows the plan cards directly so you can start.

Start with the 3-day free trial

New organizations can start a 3-day free trial during onboarding. No credit card is required and you can cancel at any time. The trial unlocks the product so you can evaluate it before you pay.

While the trial runs, a pill sits in the top bar showing how much time is left — {n}d left, then Last day on the final day, then Trial expired. Click the pill at any point and Clyentra takes you to /usage to subscribe.

The trial does end: When the trial expires, a blocking overlay appears over the workspace with a Subscription required badge and a Renew or buy plan button. Your data is untouched, but you cannot work in the org until billing is restored. Subscribe before the last day if you want no interruption.

The plans

Clyentra sells three per-user plans, billed monthly in USD. The plan list is served live from Stripe, so treat the prices on the cards in the app as the source of truth — the table below is the current lineup.

Each card shows the plan name, the total for the seats you have selected, a Seats stepper, and an Everything included: feature list. The line under the price spells the maths out — $29 × 3 users / month.

Comparing plans before you sign in: The public pricing page at /plans shows the same cards under the heading Simple, transparent pricing with a Get started button. The plan list needs a session, so signed-out visitors are asked to sign in or create an account first. See create-account.

Subscribe to a plan

  1. Open Usage & Billing. Go to /usage. If you already have a subscription, stay on the Plan & Billing tab and press View all plans.
  2. Set your seat count. Use the Seats stepper on the plan card. The minimum is your organization's active user count — you cannot buy fewer seats than you have people. The card total updates as you step.
  3. Press Choose plan. The button on your current plan reads Current plan and is disabled. Any other card reads Choose plan.
  4. Pay on Stripe. Clyentra hands you to Stripe Checkout, a hosted page run by Stripe. Clyentra never sees or stores your card details.
  5. Come back. Stripe returns you to Clyentra, which verifies the session and confirms with Payment successful! — your subscription is active. Press Go to Usage & Billing to see it.

Read the four tiles

Once you are subscribed, the Plan & Billing tab leads with your plan name, a status badge, and four tiles.

  • Plan — the plan you are on, or No active plan.
  • Monthly — what Stripe will charge on the next renewal.
  • Credits — your AI credit balance. Credits are separate from the subscription; see ai-credits.
  • Seats — the number of billed users on the plan.

The badge next to your plan name reads one of Trial, Active, Past due, Cancelled, Unpaid or Inactive. Under the tiles, a line gives the date the current period (or the trial) ends.

Add seats as the team grows

Every person you invite in manage-your-team occupies a seat, so buy the seats before you send the invitations.

  1. Find the Seat upgrade panel. It sits at the bottom of the Plan & Billing tab and reads "Add more seats. Current: N".
  2. Pick how many to add. Use the stepper to choose the number of additional seats — not the new total.
  3. Press Add seats. Stripe prorates the change automatically, so you only pay for the remainder of the current period. On success the panel confirms with Upgraded to {n} seats. Prorated: {amount}.

The billing portal

The Billing portal button in the header opens the Stripe Customer Portal. It only appears on paid subscriptions — there is nothing to manage during a trial.

Use the portal to update the card on file, review payment history, and cancel or reactivate. It is Stripe's own screen, so it is the authoritative place for anything payment-method related.

Invoices

The Invoices tab lists every invoice with Date, Amount and Status. The download button at the end of each row opens the invoice PDF hosted by Stripe — that is the document to send to your accountant. Before the first renewal you will see No invoices yet.

Cancel a subscription

Press Cancel subscription on the Plan & Billing tab. A dialog titled Cancel subscription? explains: "Your access will continue until {date}. After that, your subscription will not renew. You can subscribe again anytime." Choose Keep subscription to back out, or Yes, cancel to go ahead.

Cancelling is soft: Cancelling stops the renewal. It does not cut you off today — you keep full access until the end of the period you already paid for, and the tile hint changes to "Cancels at period end". Change your mind before that date and you can reactivate from the Stripe billing portal.

When billing lapses

If a renewal fails or the subscription ends, Clyentra puts a blocking overlay over the workspace with the Subscription required badge and a Renew or buy plan button that drops you back on /usage. If you belong to more than one organization, the overlay includes an org switcher so you can move to a healthy one and keep working.

Billing is gated by the Subscription permission, set per role in roles-and-permissions.

Set it up once: Pick the plan, buy the seats you need for the next quarter, then get on with the work. Seats prorate, so over-buying early is the only thing that costs you.

Questions people ask

How long is the free trial and do I need a card?

Three days, and no. The 3-day free trial starts during onboarding with no credit card required, and you can cancel at any time. A countdown pill in the top bar shows {n}d left, then Last day, then Trial expired.

Is Clyentra billed per user?

Yes. Starter, Growth and Pro are all priced per user per month in USD, and your bill is the plan price multiplied by your seat count — the plan card spells it out as $29 × 3 users / month.

What happens to the money I already paid if I cancel mid-month?

Nothing is lost. Cancellation is soft: the dialog confirms "Your access will continue until {date}", so you keep working through the period you paid for and the subscription then does not renew. You can subscribe again at any time.

Can I reduce my seat count?

The Seat upgrade panel on /usage only adds seats, and the minimum you can select on a plan card is your active user count. To bill for fewer people, remove the members you no longer need in manage-your-team, then manage the subscription itself from the Billing portal.

Where do I change the card on file?

In the Stripe Customer Portal. Press Billing portal in the header of /usage — it appears on paid subscriptions. Payment methods, payment history and cancel/reactivate all live there. Clyentra never stores your card.

How do I get a receipt for accounting?

Open the Invoices tab on /usage and press the download button on the row you need. It links to the invoice PDF hosted by Stripe, with the date, amount and status.

Why can't I see the billing screen at all?

Your role does not grant the Subscription permission. Viewer lets you look at the plan and invoices; Editor is required to buy, add seats, top up credits or cancel. Ask an admin to adjust your role in roles-and-permissions.
