Invite your team
Invite people to your Clyentra organization, track pending invitations, change a member's role, and remove someone who has left.

By the end of this guide you will have your colleagues inside your Clyentra organization with the right role attached, and you will know how to track invitations that have not been accepted yet.
Everything happens on the Team Management screen at /admin/team, subtitled "Manage your team members and roles".

Four metrics sit across the top, and each one is clickable — it takes you to the list behind the number.
Total Members— everyone in the organization, with a count of how many are active.Pending Invites— invitations sent but not yet accepted.Total Roles— how many roles exist, and how many of those are custom. Below them, three tabs split the list: All Members, Active, and Pending Invites.
Buy seats before you invite
Every member takes a seat: Clyentra is billed per user, and the minimum seat count on a plan is your active user count. Add the seats you need on /usage before you send a batch of invitations — see subscription-billing.
Send an invitation
- Press Invite Member. The button sits above the table. A side sheet opens, titled
Invite Team Member— "Invite a team member to your organization." - Enter the email address. Type the address into
Email Address. The placeholder shows the shape it expects:user@example.com. Clyentra validates the format before it sends. - Choose a role. Open the
Roledropdown — it prompts withSelect a role. This is not optional. The role you pick decides which modules the person can even see when they sign in, so pick deliberately. - Send it. Press
Send Invitation. The helper text under the form is the promise you are making: "An invitation email will be sent. The link expires in 7 days." PressCancelto back out without sending.
Pick the role now, not later: The role is set at invitation time and it filters the navigation the moment your colleague signs in. Inviting someone with a role that grants nothing produces a confusing, near-empty workspace. If you are unsure, start from a template — roles-and-permissions covers the seven built-in ones.
What the invitee sees
Your colleague gets an email with a link that is good for 7 days. Following it walks them through creating their account and joining your organization. That side of the flow is covered in create-account — point people there if they get stuck.
Track pending invitations
The Pending Invites tab lists every invitation that has not been accepted, with columns for Email, Role, Status and Expires. The Expires column is the one to watch — an invitation that has run past its 7 days will not work.
There is no resend button: If an invitation expired or went to the wrong address, revoke it and send a fresh one. That is the supported path — Clyentra does not offer a resend.
To revoke, use the revoke action on the invitation row. Clyentra asks you to confirm: "Are you sure you want to revoke this invitation? The recipient will no longer be able to join." Confirm with Revoke. The link dies immediately.
Change someone's role
The member table has columns for Member, Role and Status. The Role column is an inline dropdown — open it on the person's row, pick the new role, and it applies. There is no separate save step.
The new permissions take effect for that user and reshape their navigation. Changing a role needs the Permissions permission, which is a higher bar than inviting.
Remove someone who has left
Use the remove action on the member's row. Clyentra confirms with a Remove User dialog: "Are you sure you want to remove this user from your team? This action cannot be undone." Confirm with Remove.
Removal is permanent: The dialog means what it says — you cannot undo a removal. If the person is coming back, you will have to invite them again from scratch. Removing a member also frees the seat, but it does not reduce your bill on its own; manage the subscription itself from /usage.
Working in bulk
Select several rows at once and a bulk action bar appears. On the member list you can change role or delete the selection; on the invitation list you can revoke the selection. Use it when someone reorganizes a whole department at once.
Both lists also export to CSV via the Export button in the header — members export with username, email, role and status; invitations export with email, role, status, who invited them, and the created and expiry dates. Handy for an access review.
Who can manage the team

If the Invite Member button is missing entirely, your role does not carry Team at Editor level. Ask an admin.
A clean onboarding, in order: Buy the seats on /usage, create or pick the role in roles-and-permissions, then send the invitation. Done in that order, your colleague signs in to a workspace that already makes sense to them.
Questions people ask
How long is an invitation valid?
7 days. The invite sheet states it plainly: "An invitation email will be sent. The link expires in 7 days." The Expires column on the Pending Invites tab shows the date for each one.
How do I resend an invitation that expired?
You cannot resend — there is no resend button. Revoke the old invitation from the Pending Invites tab and send a new one with Invite Member. It takes about ten seconds.
Can I invite someone without choosing a role?
No. Role is required and the form will not submit without it. This is deliberate: the role decides which modules the person sees the moment they sign in, so there is no sensible default.
What happens when I revoke an invitation?
The link stops working immediately. The confirmation says it directly: "The recipient will no longer be able to join." If they already accepted, revoking does nothing — you need to remove them as a member instead.
Does removing a member lower my bill?
Removing a member frees the seat, but it does not by itself change what Stripe charges you. Manage the subscription from the Billing portal on /usage — see subscription-billing.
Can I change several people's roles at once?
Yes. Select the rows on the member table and use the bulk action bar to change role across the selection. You can also bulk-delete members, or bulk-revoke on the invitation list.
Why can I invite people but not change their role afterwards?
Those are two different permissions. Inviting and removing need Team at Editor level; changing a role needs the Permissions permission, which is deliberately held by fewer people.
